The Problem With “It’s All in My Head”

In the early days of a business, it’s common for processes to live entirely in the owner’s head, or scattered across a few employees who “just know how things work.” This works fine when your business is small. But as you grow, hire, or try to step away even briefly, that lack of documentation becomes a serious liability. What SOPs Actually Are

An SOP is simply a documented, step-by-step process for completing a specific task consistently. This could cover anything from how to onboard a new customer, to how invoices are processed, to how a product is packaged and shipped. Good SOPs are clear enough that someone unfamiliar with the task could follow them and get the same result every time.

The goal isn’t bureaucracy for its own sake. It’s consistency, quality control, and the ability to scale your operations without everything depending on one or two people.

Without documented procedures, quality varies depending on who’s doing the task. Training new employees takes longer and produces inconsistent results. Where to Start If You Have Zero SOPs

Don’t try to document everything at once. Start with the processes that are most repeated, most critical to quality, or most painful when done inconsistently. Customer onboarding, invoicing, and employee onboarding are common starting points for most small businesses.

For each process, walk through it step by step as if you were training a brand-new employee with no prior context. Write down each step in order, note any decision points or exceptions, and include any tools, templates, or logins needed to complete the task.

Keeping SOPs Useful, Not Just Filed Away

An SOP that sits in a folder nobody opens isn’t doing its job. Make your procedures easy to find, easy to update, and part of your actual training process. Review and update them periodically, especially after any process changes, and assign ownership so someone is responsible for keeping each SOP current.
